Job Description

EVENT PLANNING SPECIALIST ROLE:

Assists in implementing Business Development and Community Relations initiatives, ensuring that initiatives are effective in showcasing and growing the credit union’s member base and furthering the credit union’s community relations footprint. Position will plan, organize, execute, and participate in various functions, activities, and events and communicate with a wide-variety of people, both internal and external to the organization. Position helps facilitate off-site events, thus hours will be flexible and some evening and weekend hours will be required.

Salary:$16.74 to 25.11 (Annualized $34,819 to $52,228)

Experience and Skills

ESSENTIAL FUNCTIONS:

  • Coordinates the strategy and execution of meetings and special events, including community outreach, school, SEG-related events, and credit union sponsored events, as well as community relations sponsored activities
  • Coordinates, attends, and manages all community outreach and enterprise events, including amenities and accommodations at the event, procurement and delivery of collateral materials, and transport, set-up, and tear-down of event equipment and materials
  • Assists and informs departments and branches of the goals, details, and outcomes of events, including proposals and conveying expectations set forth for each group, i.e. clear details and critical timeframes
  • Works closely with branch managers and teams in determining and executing relevant and effective community events

 

  • Secures, monitors, and administers event contracts, to be executed by AVP of Community Relations
  • Serves as liaison with vendors, community partners, and staff on event-related matters
  • Ensures events have proper branding, by reviewing all logos and marketing materials and signage to appear at the event
  • Manages event promotional items, including ordering, inventory tracking, and distribution to events and to branches
  • Organizes the production of event photos and provides to marketing for internal/external use, as needed
  • Works within budget and business plan
  • Completes required reports and tracking; and maintains current event tracking spreadsheet and processes
  • Completes event-follow-up, including inventory reporting, maintenance of equipment, and providing leads to relevant departments, including SEG, CSR, retail, and mortgage opportunities
    • Assists in building and strengthening corporate and business relations, and provides business development related support
  • Proposes new ideas for improving the event planning, implementation, and administrative processes
  • Attends and participates in meetings and committees as needed
  • Maintains the credit union's professional reputation both internally and externally
  • Ensures that work area is clean, secure, and well-maintained
  • Completes special projects and other duties, as assigned
  • Lifts up to 50 pounds (up to 10 times a day as needed, on event days)

QUALIFICATIONS

Education/Certification:

  • Two years related experience and/or training, preferably in a financial institution; or working towards an Associate’s degree in business or related field; or equivalent combination of education and experience

Required Knowledge:

  • Knowledge of credit union products, policies, and procedures
  • Financial literacy and general knowledge of banking and financial services
  • Ability to drive company vehicle with good driving record
  • Time management

Experience Required:

  • Hospitality, meeting and event planning, project management, customer service, retail, sales, or a related field

Skills/Abilities:

  • Well organized; ability to meet deadlines; strong project management skills; willingness to travel locally; excellent interpersonal skills
  • Ability to define and communicate problems, collect data, establish facts, and draw valid conclusions; ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables
  • Ability to work well under pressure with a positive, friendly, and professional demeanor
  • Ability to use a personal computer and related software applications (Microsoft Office Suite—including Word, Excel, and PowerPoint) and web-based communication platforms
  • Problem analysis and problem solving
  • Strong relationship development skills
  • Ability to communicate in a common language, and express thoughts clearly with all levels and diverse backgrounds

 

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Must be able to stand and walk for long periods of time during events
  • Must be able to work a variety of hours in order to accommodate events
