Job Description



Responsible for loan documentation preparation and collateral management functions in accordance with Credit Union policies and procedures and specific to state regulations. Responsible for only "approved" loan document preparation for all consumer lending products to include signature loans, credit cards and automotive loans. The position ensures accurate and timely documentation is dispatched to branch lending staff. Responsible for performing a variety of quality control functions to check loan documents to ensure complete and accurate information. Complete related reports and paperwork in order to maintain and update files, while researching and resolving recordkeeping errors or discrepancies. Provide high quality and professional service to employees, and performs miscellaneous support functions as assigned.



  • Ensures that loan documentation and collateral management is prepared in accordance with the approved credit presentation and within credit union policies and procedures

  • Ensure compliance with respect to all regulations as they relate to specific loan products

  • Consumer Loans:

      • Ensure loan originator is notified immediately via email upon receipt of an approved loan with an estimated time to expect documentation

      • Enter loan number and initial time into daily log

      • Prepare loan documents as required to specific loan product and per approved credit presentation

      • Send documents along with required checklist to loan originator for loan closing. Checklist will include instructions for loan originator to send original documents directly to loan servicing for boarding.

      • Enter document completion time into daily log

      • Track for return of closed loan "pdf" documents, review documents for accuracy, and enter into daily log

      • Correct all errors, as required, and resend to originator

      • Record and track all deficiencies and errors

      • Email copy of daily log to loan servicing to ensure timely and accurate boarding of loan

  • Tracks loan originators with respect to loan errors

  • Generates tracking reports and submits to supervisor

  • Completes periodic review of department procedures and reports schedule for assigned duties. Ensures procedures are drafted, up to date, and in a central location and assessible to all department employees.

  • Obtains and conveys information as needed

  • Answers questions, resolves problems, and responds to requests for documents promptly and courteously

  • Assists branches and related departments as required

  • Maintains member confidentiality

  • Keeps management informed of area activities and of any significant problems. Provides suggestions for improved service delivery.

  • Maintains and project the Credit Union's professional reputation

  • Responsible for related duties as required or assigned






  • Completed high school diploma, GED or equivalent combination of formal training and experience

  • Additional business coursework helpful


Required Knowledge:

  • General understanding of Credit Union loan processes

  • Knowledge of related computer applications


Experience Required:

  • Two years of similar or related experience preferred but not required



  • Ambitious and self-motivated/directed

  • Ability to work independently

  • Well organized and attentive to detail

  • Strong communication and phone skills

  • Coordinate activities well with others

  • Proficient in Microsoft Office Suite products

  • 10-key, telephone, and other basic business equipment
